Privacy Notice

This Privacy Notice applies to SurveyBods members and explains how STRAT7 Limited collects, uses, shares, stores and protects personal data in connection with SurveyBods membership and Research Activities. It replaces the previous SurveyBods privacy notice from the effective date above. New members will receive this Privacy Notice when they join. Existing members will be asked to acknowledge the updated Privacy Notice when they accept the updated SurveyBods Terms of Use.

1. Who we are

SurveyBods is a research panel and online community operated by STRAT7 Limited (STRAT7, we, us or our). STRAT7 Limited is registered in England and Wales under company number 07642707 and has its registered office at Warner House, 98 Theobalds Road, London, WC1X 8WB.


STRAT7 Limited is the controller of the personal data we collect and use to operate SurveyBods and manage your membership. Research Activities may also be designed, commissioned, managed, moderated, analysed or delivered by another member of the STRAT7 Group or for a Client. In some circumstances another STRAT7 Group company or a Client may be a separate or joint controller of personal data processed in connection with a particular Research Activity. Where that is the case and additional information is required, we will provide or make available appropriate project-specific privacy information.

2. Key Terms

In this Privacy Notice:


“Client” means a client or prospective client of STRAT7 or another STRAT7 Group company for whom, or in connection with whom, a Research Activity is undertaken.

“Content” means any text, answers, responses, comments, opinions, ideas, images, photographs, audio, video, recordings, files or other material that you provide, upload, submit or create in connection with SurveyBods or a Research Activity.

“Research Activity” means any market, social, opinion, user experience or other research activity that you are invited to participate in through SurveyBods, including surveys, questionnaires, interviews, in-depth interviews (IDIs), focus groups, online communities, discussion boards, diaries, observational research, product or concept testing, video or audio research, specialist or expert research and research conducted through digital or technology-enabled platforms or tools.

“Site” means any SurveyBods website, app, portal, online community or other digital service or platform operated by or on behalf of STRAT7 for SurveyBods members.

“STRAT7 Group” means STRAT7 Limited, its parent undertakings and their subsidiaries and subsidiary undertakings from time to time.

“SurveyBods” means the SurveyBods research panel and associated website, app, portal, community and other member services operated by STRAT7 Limited.

3. Scope of this Privacy Notice

This Privacy Notice covers personal data processed in connection with:

  • joining, maintaining and managing your membership of SurveyBods;

  • creating, administering and managing your SurveyBods Account, profile, preferences and member communications;

  • inviting you to, matching or screening you for, and administering your participation in Research Activities;

  • surveys, questionnaires, interviews, in-depth interviews (IDIs), focus groups, online communities, discussion boards, diaries, observational research, product or concept testing, video or audio research, specialist or expert research and other Research Activities;

  • Research Activities carried out through the SurveyBods Site, by telephone, video or in person, by email or SMS, through messaging services such as WhatsApp or Messenger, through social media, mobile applications, third-party research platforms, websites, tools or other technologies;

  • collecting, recording, using, analysing and reporting information, responses and other Content provided by you in connection with your membership or participation in Research Activities;

  • sharing personal data with STRAT7 Group companies, Clients, research partners, service providers and other third parties where necessary or appropriate for the purposes described in this Privacy Notice;

  • administering Points, vouchers, payments, incentives, rewards and prize draws;

  • providing member services and support, responding to enquiries and complaints and otherwise communicating with you about your membership;

  • operating, administering, maintaining, securing, developing and improving SurveyBods, our research services, systems, platforms, technologies and methodologies;

  • participant profiling, matching and screening, research quality controls, validation, identity verification, fraud detection and prevention and investigating suspected misuse or breaches of the SurveyBods Terms;

  • data matching, enrichment, audience modelling, advertising effectiveness, exposure measurement and other research and analytical activities described in this Privacy Notice;

  • our use of artificial intelligence, machine learning and other automated or technology-assisted tools in connection with SurveyBods and Research Activities;

  • complying with our legal and regulatory obligations, research standards and internal governance requirements, and establishing, exercising or defending legal rights and claims; and

  • any other purposes connected with your SurveyBods membership or participation in Research Activities that are described in this Privacy Notice or otherwise notified to you where required by applicable law.


This is intended to be the principal privacy notice for SurveyBods membership and Research Activities undertaken through SurveyBods, including where a Research Activity is delivered for another STRAT7 Group company. We do not intend to require members to accept multiple overlapping STRAT7 Group privacy notices for the same Research Activity. Where a particular project involves additional or materially different processing, we may provide supplementary project-specific privacy information.

Some Research Activities may involve using a third-party platform, website, messaging service, social media platform, app or other tool. For example, you may be asked to take part through WhatsApp, Messenger or another online research platform. When you use a third-party service, that third party may collect and use your personal data for its own purposes. You should read the third party’s privacy notice and terms before using the service so that you understand how it will collect, use and protect your personal data.

Third-party services are operated independently of SurveyBods and, to the extent permitted by law, we are not responsible for their availability, security, content, functionality or for how they collect or use personal data for their own purposes.

4. Who can join SurveyBods

SurveyBods membership is currently only available to individuals aged 18 or over who are resident in the United Kingdom or the Republic of Ireland. We may make membership available in other countries or territories in the future. If we do, this Privacy Notice will apply subject to any additional or different information we may be required to provide by applicable local law.

We do not knowingly accept members under the age of 18. If we become aware that a person under 18 has registered as a member, we may close the Account and take appropriate steps in relation to their personal data.

5. Personal data we collect

The personal data we collect depends on your membership, profile, the Research Activities you choose to take part in and the technologies used. We may collect the following categories:

  • Identity data – for example your name, date of birth, age, gender, username, panellist ID and, where relevant to a Research Activity, photographs, video or audio recordings.

  • Contact data – for example your email address, telephone number and postal address.

  • Profile and demographic data – for example country of residence, nationality, household information, relationship or marital status, education, employment, occupation, job level, income band, interests, preferences, purchasing or consumption information and other profile characteristics.

  • Research data and Content – your answers, opinions, comments, ideas, feedback, diary entries, uploaded files, photographs, audio, video, transcripts and other information you provide or create in connection with a Research Activity.

  • Advertising and media exposure data – where relevant to a Research Activity, information about advertising, media, websites, apps or other content that you may have viewed, interacted with or been exposed to, including information received through measurement, matching or research partners.

  • Sensitive personal information (also known as “special category data”) – this may include information about your racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic or biometric data used for identification, health, sex life or sexual orientation. We may collect this information as part of your SurveyBods profile or where it is relevant to a Research Activity or participant matching. We will only use it where data protection law allows us to do so.

  • Technical and usage data – for example IP address, device and browser information, operating system, device identifiers, login and security information, timestamps, Site activity, cookies, server logs and similar technical information.

  • Location data – where a Research Activity or enabled feature requires it and you have provided the necessary permission, this may include approximate or precise device location.

  • Financial and reward data – for example bank details where cash redemption is available, Points balances, redemption history, voucher information, prize information and payment records.

  • Communications and support data – correspondence with us, complaints, enquiries, customer support records and communication preferences.

  • Quality, verification and fraud data – information generated or used to validate identity, eligibility, participation and research quality, including device identifiers, digital fingerprinting or similar signals, duplicate-account indicators, attention and quality checks, response patterns and suspected fraud or misuse.

  • Pseudonymised data – information linked to an identifier such as a panellist ID rather than directly to your name or contact details.


We may also create and use aggregated or anonymised information. Where information has been anonymised so that it no longer identifies you, it is not personal data and may be used for research, statistical, analytical and business purposes.

6. How we collect and obtain personal data

We collect personal data from a number of sources, including:

  • directly from you when you register, complete or update your profile, participate in a Research Activity, provide or upload Content, communicate with us, contact our member support team, redeem Points or other rewards, enter a prize draw or otherwise interact with SurveyBods;

  • automatically when you use the Site, an app or certain research technologies, including through cookies and similar technologies, server logs, IP addresses, device and browser information, device identifiers, digital fingerprinting and similar technologies;

  • from your previous membership and participation in SurveyBods, including information about Research Activities you have been invited to or participated in, your responses, eligibility and screening information, participation history, Points and rewards activity and communication preferences;

  • from information we create or infer from the information we hold about you, for example participant profiles or categories, likely eligibility for Research Activities, quality or validation indicators and fraud or duplicate-account indicators;

  • from another STRAT7 Group company where necessary to administer SurveyBods or to design, manage, deliver, analyse or report on a Research Activity;

  • from Clients, research partners, sample or recruitment providers and technology providers where necessary for participant recruitment, matching or screening, validation, quality control, fraud prevention, data matching, advertising effectiveness or the delivery or analysis of a Research Activity;

  • from third-party data providers and publicly available sources where we lawfully use data enrichment, matching, validation or other research services;

  • from third-party platforms, websites, messaging services, social media platforms, apps, tools or other services used in connection with a Research Activity, to the extent that information is provided or made available to us through those services;

  • from payment providers, banks, voucher providers, incentive providers and prize fulfilment providers in connection with Points, payments, rewards and prize draws; and

  • from other third parties where you have authorised them to provide information to us or where we are otherwise permitted by law to receive it.

7. How and why we use personal data

We use your personal data only where we have a lawful basis to do so. The lawful basis will depend on why and how we are using your personal data. We may process your personal data where this is necessary to perform our contract with you, where it is necessary for our legitimate interests or those of a third party, where you have given us consent, or where we need to comply with a legal obligation.

Some types of personal data, such as information about your health, ethnicity, religion or sexual orientation, are considered particularly sensitive and receive additional protection under data protection law. We will only use this type of information where the law allows us to do so, which may include asking for your explicit consent. We explain this further in section 10.

Where we rely on legitimate interests, this means that we have identified a legitimate business, research or operational reason for using your personal data and have considered whether your interests, rights and freedoms override those interests. Our legitimate interests include operating and improving SurveyBods, conducting and delivering research for STRAT7 and our Clients, matching members with appropriate Research Activities, maintaining research quality and integrity, preventing and detecting fraud and misuse, protecting our systems and users, administering and improving our services, and supporting and developing our research services, technologies and methodologies.

You are not required to participate in any particular Research Activity. However, we need certain personal data to create and administer your SurveyBods Account, confirm that you meet our membership requirements and operate your membership. If you do not provide information that is required for these purposes, you may not be able to join or remain a member of SurveyBods.

Certain Research Activities may also require particular information to determine whether you are eligible to participate or to enable us to conduct the research. You do not have to provide that information, but if you choose not to do so, you may not be eligible or able to take part in the relevant Research Activity.

8. Research Activities, recordings and observation

Participation in Research Activities is voluntary. A Research Invitation may give you additional information about the subject, format, duration, eligibility criteria, incentive, location, technology requirements and any additional privacy information relevant to that activity.

Some Research Activities may involve audio or video recording, transcription, observation or other capture. Where this applies, we will provide appropriate information about the recording or capture. Sessions may be observed live or reviewed afterwards by authorised STRAT7 personnel, other STRAT7 Group companies, Clients and research partners where appropriate for the Research Activity.

Research responses and outputs may be provided to Clients and authorised research partners in identifiable, pseudonymised, anonymised or aggregated form depending on the Research Activity. Where identifiable information is to be disclosed in a way that requires additional transparency or consent, we will provide the appropriate information or obtain consent before that processing takes place.

9. Artificial intelligence and automated tools

We and other STRAT7 Group companies may use artificial intelligence (AI), machine learning and other automated or technology-assisted tools in connection with SurveyBods and Research Activities. This may include STRAT7-developed or STRAT7-controlled technology and appropriately selected third-party AI or technology providers that we have selected to support our research and related services.

Depending on the Research Activity, these tools may assist with participant matching and screening, fraud prevention, quality checks, transcription, translation, coding, categorisation, analysis, summarisation, synthesis of responses, research insight generation and the operation, development or improvement of research services and methodologies.

Where appropriate, we take steps to minimise the personal data used, apply access controls and contractual safeguards, and use pseudonymised or de-identified information where this is suitable for the purpose. We do not treat the use of AI as removing our responsibilities under applicable data protection law.

We may use automated tools to support matching, screening, quality and fraud checks. We do not intend to make solely automated decisions that produce legal effects or similarly significant effects on you unless permitted by law and appropriate information and safeguards are provided. If that changes for a particular use, we will provide additional privacy information as required.

10. Special category and sensitive research data

We may ask you to provide sensitive personal information as part of your SurveyBods profile or in connection with a particular Research Activity. This may include information about your racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, health, sex life or sexual orientation. Providing this information is voluntary unless we clearly tell you otherwise. We may use it to understand the composition of the panel, match or screen you for relevant Research Activities, conduct research and analyse or report research findings.

We will only collect or use sensitive personal information where data protection law allows us to do so. Depending on how we use the information, this may include obtaining your explicit consent. Where we rely on your consent, you can withdraw it at any time for future processing, although this will not affect any processing that has already taken place lawfully.

11. Public areas and information you choose to share

Some SurveyBods or research features may allow Content to be visible to other members or, in limited cases, publicly accessible. You should not include your own personal data, or another person’s personal data, in a response, post, comment or other Content that is visible to other members or the public unless we expressly ask you to do so as part of a Research Activity.

Information you choose to make publicly available may be seen, copied, used or shared by others. We cannot control how unrelated third parties use information that you choose to publish in a publicly accessible area. Please refer to the SurveyBods Terms of Use for the applicable Content Rules.

12. Profiling, matching, data enrichment and measurement

We use profile and demographic information to match members with Research Activities for which they may be eligible. This may involve creating or applying participant categories or profiles based on information you have provided and previous participation. Where we use sensitive personal information for matching, we will only do so where data protection law allows us to, which may include obtaining your explicit consent.

For some Research Activities, we may use trusted partners to match or enrich data, measure advertising exposure or effectiveness, or create research or audience models. This may involve pseudonymised identifiers, device or cookie data, demographic information or other relevant information. Where Identity or Contact data is shared for matching or enrichment, or where consent is otherwise required, we will obtain the necessary permission or provide the required choice.

Where we conduct app or website usage studies, geolocation studies or similar passive measurement, we will provide additional information about the data collected, duration of collection and available controls before or when you join that activity.

13. Quality control, device information and fraud prevention

We have a legitimate interest in protecting members, Clients, research integrity, rewards and our systems. We may therefore use technical and behavioural signals for quality control, validation, identity verification and fraud detection and prevention.

These measures may include IP addresses, device and browser characteristics, device identifiers, digital fingerprinting or similar technology, account and participation history, response timing and patterns, duplicate-account indicators and attention or quality checks. We may compare relevant identifiers with Clients, sample providers or other trusted research partners where necessary to detect duplicate or fraudulent participation.
Information from these checks may be used to reject or invalidate participation, withhold or reverse incentives, suspend redemptions while suspected fraud is investigated, or suspend or terminate an Account in accordance with the SurveyBods Terms.

14. Points, rewards, payments and prize draws

We process personal data to administer Points and other incentives, verify eligibility, process voucher or cash redemptions, deliver rewards, maintain transaction records, investigate reward fraud and administer prize draws. We may share the minimum information necessary with banks, payment providers, voucher providers, fulfilment partners and other suppliers involved in providing a reward.

For prize draws we may process identity, contact, eligibility and winner information. We may publish or make available limited winner information where required by applicable promotional rules and as described in the applicable Prize Draw Terms. We will not use a winner’s image or other personal information for promotional publicity unless we have an appropriate legal basis and have provided any information or obtained any permission required by law.

15. Communications

We may contact you about your Account, membership, changes to our Terms or privacy information, Research Invitations, rewards, prize draws and other SurveyBods service matters using email, SMS, in-app messages, push notifications or another contact method you have provided or agreed to use.

You can manage available participation or communication preferences through your Account or the methods we make available. Some essential service communications may still be sent while you remain a member.

16. Third-party platforms and services

A Research Activity may require or invite you to use a third-party platform, website, messaging service, social media platform, tool, application or other service, including services such as WhatsApp or Messenger. Where the third party processes personal data for its own purposes, its own privacy notice and terms govern that processing and you should review them before using the service.

Where a third-party supplier processes personal data on our behalf, we take reasonable steps to select appropriate suppliers and put contractual and other safeguards in place as required by applicable data protection law.

17. Who we share personal data with

We may share personal data, where necessary and appropriate, with:

  • other STRAT7 Group companies involved in operating SurveyBods or designing, managing, moderating, delivering, analysing or reporting a Research Activity;

  • Clients and prospective Clients for whom or in connection with whom Research Activities are undertaken. Research results will often be shared in anonymised, aggregated or pseudonymised form, but identifiable data may be shared where the Research Activity requires it and appropriate privacy information and safeguards are in place;

  • research partners, moderators, recruiters, translators, transcribers, analysts and other specialist suppliers supporting a Research Activity;

  • technology, hosting, communications, AI, analytics, security, fraud-prevention, panel-management and IT service providers;

  • payment, banking, voucher, incentive and prize-fulfilment providers;

  • data matching, enrichment, measurement, sample and validation partners where used for a Research Activity;

  • professional advisers, auditors and insurers;

  • regulators, courts, law enforcement and public authorities where disclosure is required or permitted by law; and

  • a purchaser, investor, lender or other relevant party in connection with a corporate reorganisation, financing, merger, acquisition, sale or transfer of all or part of our business or assets, subject to appropriate safeguards.


We require service providers acting on our behalf to process personal data only for authorised purposes and to protect it appropriately.

18. International transfers

SurveyBods currently accepts members resident in the United Kingdom and Republic of Ireland, but STRAT7 is an international group and our Clients, other STRAT7 Group companies and service providers may be located in other countries. Your personal data may therefore be transferred to, stored in or accessed from countries outside the country in which you live, including outside the UK and/or European Economic Area (EEA).

Where applicable data protection law requires safeguards for an international transfer, we use an appropriate transfer mechanism. Depending on the transfer, this may include an adequacy decision or regulation, the European Commission’s Standard Contractual Clauses, the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or another lawful mechanism.

We may also implement supplementary technical, organisational or contractual measures where appropriate. You can contact the DPO if you would like more information about the safeguards used for relevant international transfers.

19. Cookies and similar technologies

We use cookies and similar technologies on the Site and in connection with some Research Activities. These may be used to operate the Site, remember preferences, understand usage, protect security and research integrity, perform analytics and, where applicable, support measurement or ad-effectiveness research.

We may also use server logs, device identifiers, digital fingerprinting and similar technologies for security, quality control, validation and fraud prevention. Where consent is required for a cookie or similar technology, we will request it through the relevant consent mechanism. Further information is available in our Cookie Notice.

20. Mobile applications, SMS and location-enabled research

Where a SurveyBods mobile application is supported, we may collect device, operating system, app version, performance and usage information needed to provide and support the app. If you enable push notifications, we may use device identifiers to send them.

If you participate in SMS, messaging or location-enabled research, we may process the contact, message, device and location information necessary to provide that activity. Your network or third-party messaging provider may also process information under its own terms and privacy notice.

We will not collect precise location data through an app or Research Activity unless the relevant permissions are enabled and the processing is explained to you.

21. Security

We use appropriate technical and organisational measures designed to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access. Access is restricted to personnel, contractors and suppliers who need it for authorised purposes and are subject to appropriate confidentiality and security obligations.

No system can be guaranteed to be completely secure. We maintain procedures for investigating and responding to suspected personal data breaches and will notify affected individuals and regulators where required by law.

22. How long we keep personal data

We retain personal data only for as long as reasonably necessary for the purposes for which it was collected, including administering membership and Research Activities, maintaining research integrity and audit trails, administering rewards, resolving disputes, enforcing our Terms and meeting legal, regulatory, tax, accounting and reporting requirements.

Retention periods vary depending on the type of data, sensitivity, purpose, legal requirements and whether the information can be anonymised. When personal data is no longer required, we will delete, anonymise or otherwise securely dispose of it in accordance with our retention procedures.

If you close your Account, we will stop using your personal data to administer active membership and Research Invitations. Some information may be retained for a period after closure where necessary for legal, regulatory, fraud-prevention, research integrity, financial, audit, backup or dispute-resolution purposes. Anonymised research information may be retained and used indefinitely.

23. Your rights

Depending on the law that applies to you and the circumstances, you may have rights to:

  • request access to personal data we hold about you;

  • request correction of inaccurate or incomplete personal data;

  • request deletion of personal data in certain circumstances;

  • request restriction of processing in certain circumstances;

  • object to processing based on legitimate interests in certain circumstances;

  • receive certain personal data in a structured, commonly used and machine-readable format and/or have it transmitted to another controller where the right to data portability applies;

  • withdraw consent at any time where processing is based on consent, without affecting the lawfulness of processing carried out before withdrawal; and

  • have rights in relation to certain solely automated decision-making where applicable.


These rights are not absolute and exemptions may apply. We may need to verify your identity before acting on a request. To exercise a right, contact dpo@strat7.com.

24. Complaints and supervisory authorities

If you have a question or complaint about how we use personal data, please contact our DPO at dpo@strat7.com. We would appreciate the opportunity to address your concerns.

You also have the right to complain to the data protection supervisory authority that applies to you. In the United Kingdom, this is the Information Commissioner’s Office (ICO). In the Republic of Ireland, this is the Data Protection Commission (DPC). If SurveyBods is made available in other countries, you may also have the right to complain to your local supervisory authority.

25. Closing your Account

You may close your SurveyBods Account at any time using the account closure function made available in your Account or by contacting hello@surveybods.com. Closing your Account ends your membership and your right to participate through SurveyBods. The SurveyBods Terms explain what happens to unredeemed Points and rewards when membership ends.

Account closure does not necessarily require immediate deletion of every item of personal data. We may retain information where and for so long as we have a lawful reason to do so, as explained in section 22.

26. Changes to this Privacy Notice

We may update this Privacy Notice from time to time to reflect changes to SurveyBods, Research Activities, technology, our business, applicable law or regulatory guidance. The current version and its effective date will be made available through SurveyBods.

Where a change is material, we will take reasonable steps to bring it to your attention. Where appropriate, existing members may be asked to acknowledge an updated Privacy Notice or accept updated SurveyBods Terms before continuing to access their Account or further Research Activities.

It is important that the personal data we hold about you is accurate and current. Please keep your Account and profile information up to date.
